As we continue to expand our operations and reach, we are seeking a highly skilled and detail-oriented Payroll Accountant to join our finance team. The Payroll Accountant will be responsible for managing all aspects of payroll processing, ensuring accurate and timely payment to employees on a bi-weekly basis. In addition, this position will be tasked with registering the company in new states and maintaining comprehensive payroll records in compliance with relevant regulations and company policies.
Responsibilities:
- Calculate and process bi-weekly payroll accurately and on time for all employees using the Rippling payroll system.
- Calculate incentive compensation amounts & SPIFFs for employees with incentive comp plans.
- Review timesheets, attendance records, and other relevant data to ensure accurate payment calculations.
- Address any discrepancies or issues related to payroll and resolve them promptly.
- Serve as the nexus of collaboration between legal, finance, and HR teams to determine the requirements and procedures for registering the company in new states for payroll purposes; prepare and submit all necessary documentation to complete state registration processes efficiently and in compliance with local regulations.
- Stay up-to-date with federal, state, and local payroll regulations, tax laws, and reporting requirements.
- Implement and maintain internal controls to safeguard payroll data and mitigate risks of errors or non-compliance.
- Maintain accurate and organized payroll records, including employee information, timesheets, tax withholdings, and benefit deductions.
- Prepare and distribute payroll reports to relevant departments, management, and external stakeholders as needed.
- Handle employee inquiries regarding payroll matters in a professional and timely manner.
- Continuously identify opportunities to streamline and improve payroll processes for greater efficiency and accuracy.
- Review Quarterly payroll tax fillings for federal and states, work with representatives to resolve issues or notices.
- Accrue payroll expenses at month end.
- Process wage garnishments, child support and subpoenas as required by law.
- Review biweekly payroll journal entries integrated to the accounting system Netsuite, reconcile all payroll related GL accounts: Accrues, withholding, benefits, taxes, 401K and others.
- Analyze monthly payroll expenses and explain the flux.
- Support SOX and statutory audits related to payroll.
Qualifications and Skills:
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience as a Payroll Accountant, preferably handling payroll processing using Rippling or similar payroll systems.
- In-depth knowledge of federal, state, and local payroll laws and regulations.
- Strong attention to detail and ability to maintain data accuracy and confidentiality.
- Excellent organizational and time-management skills, with the ability to handle multiple priorities and meet strict deadlines.
- Exceptional problem-solving and analytical abilities to address payroll-related challenges effectively.
- Proficiency in using payroll software, spreadsheets, and other relevant financial tools.
- Strong communication and interpersonal skills to interact with employees and external parties in a professional manner.
- Familiarity with general accounting principles and practices.
Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $65,000/year in our lowest geographic market up to $85,000/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience.
